3.0 GUIDELINES FOR COMMITTEE MEMBERS
3.1 Annual General Meetings (AGM)
Each year all Activity Groups are required to hold an Annual General Meeting. It usually takes place in the second semester mainly for the purposes of electing the activity group committee for the coming year. This meeting should be advertised at least one week in advance by e-mail, posters on the Activities notice board or in the student paper. At this meeting all positions should be elected by the current members of the activity group.
3.2 Managing your group account
Any weekly subscriptions or other income should be paid into the Finance Office regularly in University House. The Finance Office is open Monday-Friday 10am-4pm.
DO NOT CARRY LARGE AMOUNTS OF GROUP MONEY ON YOUR PERSON
Claiming money back/ Paying Invoices
In order to claim money back from your account or to pay an invoice a requisition form needs to be filled in; these are available from the Activities Development Unit. The invoice or any receipts need to be retained and attached to the requisition form. All Requisition forms need to be signed by two members of the Committee.
Four Committee members should be nominated to act as a Requisition Signatory, only these four signatories will be able to sign requisition forms before submitting the form to the Finance Office.
3.3 Social Events
As an Activity group, it is important that you get to know your members, and they get to know you on a social level. This can enable good group rapport, as well as possibly increase numbers within your group. The socials do not have to be every week, and are by means not compulsory, but can often be a good way of getting to know each other and making people feel welcome. The Students’ Union encourages all groups to hold socials which do not include alcoholic consumption to ensure the group is as fully inclusive as possible.
Initiations
It is the aim of The University of Salford Students’ Union mission to Enhance Students ’Lives’ and in doing so to ensure a safe environment.
The University of Salford Students’ Union believes the practice of initiations is a dangerous and degrading exercise that jeopardises the safety of members and reflects negatively on the public image of students. The Union is also painfully aware that unforeseen circumstances resulting from such activities can cause anguish that may affect students and their families both personally and academically.

It is the policy of The University of Salford and the Students Union that no student, University or Union employee, student club or society or other recognised group or association shall conduct or condone initiation activities, “consensual” or not.
Definition
Initiation Activities are defined as any action taken or situation created as part of induction into or continued membership of a student organisation which produces or could be expected to produce mental or physical discomfort, harm or stress; embarrassment; harassment or ridicule.
Students’ Union Annual Awards
The Annual Awards is an exciting awards ceremony where the Union celebrates the achievements of Salford students. Student’ involved in student activity groups, student media, student representation or students that have done something amazing for the students in your faculty could be nominated. Any student can nominate another student for an award and any student can be nominated for an award.
In specific relation to student activity groups, graduating students may be nominated for Colours;
• If they have represented an activity group (Representative colours)
• If they have athletically represented a sport club (Athletic Colours)
• If they have been a member of the structural committee (Executive Colours)

REC night
Formally know as Recreation night deriving from the Recreation Division as the Activities Development Unit was formerly known.

REC night is biannual social evening where all activity groups gather in fancy dress and participate in group games and entertainment. The theme is chosen a number of weeks before the event by voting on the website poll.
3.4 Group Clothing
Samurai Sportswear is the official clothing supplier and sponsor of the University of Salford Students’ Union. All clothing must be ordered through the Students’ Union and this kit arrangement. To order your items please get in touch with the Activities Development unit by emailing studentactivities-ussu@salford.ac.uk or by visiting the office in University House.

3.5 Salford Student Life Award
Did you know that by being a committee member in an activity group, by setting up your own group, or by acting as a sports coach to others in your community, you are already one step to achieving the Salford Student Life Award and gaining extra recognition for your all hard work?
The Salford Student Life Award will encourage you to develop the necessary skills and abilities to succeed in the world of work on graduation, boost your career prospects and gather evidence which you will be able to use when applying for jobs or articulating your skills to potential employers.
How does it work?
One major aspect of the award is volunteering. You might not realise it, but as an activities committee member, you are already volunteering in the University community, and you can count these hours towards the award. All you will then have to do is complete a series of other tasks that benefit you, making you more employable in the future.
Students are given one calendar year to complete the award. What’s great about it is that there are three levels – Bronze, Silver and Gold. You decide which level to go for depending on your time, availability and your own personal goals. Throughout the award there is help at hand and support along the way - The SSLA team want to help you achieve your utmost potential.
How do I sign up?
In order to sign up for the award in either Semester 1 or Semester 2, all you have to do is go to an initial Information Session, where you will be given all the information you need to start your one year award journey.
